Clubhouse Legend ("we", "us") is operated from Australia and is responsible for the personal information described. This Privacy Policy explains how we collect, use, store, disclose and delete personal information when you use our website or order a personalized golf calendar.

1. Information we collect

We collect information you give us and information needed to run our website and fulfill your order:

your name, email address and delivery address;
order details and personalization preferences;
uploaded photographs and generated artwork;
messages to our support team;
browser, device, visit and usage information, including advertising referral identifiers;
payment status and transaction details supplied through Shopify and its payment providers.

Payments are processed through Shopify and its payment providers. We do not receive or store your full payment-card number.

2. How we use information

create and review your personalized artwork;
process payments, print your calendar and arrange delivery;
provide the digital artwork included with your purchase;
provide support, reprints and remedies for quality or delivery issues;
operate and improve the website, understand advertising performance, and prevent fraud or misuse;
meet legal, accounting and tax obligations.

3. Face photos and AI-generated artwork

We use uploaded face photos only to create, check, review and produce the customer’s artwork and provide related order support. We do not use them to identify anyone, create facial-recognition templates, or sell the photos. Automated photo checks assess whether one person’s face is visible and the photo is suitable; they do not establish the person’s identity.

Photos are sent to Google Gemini via its API for suitability checks and image generation, under Google’s applicable API terms. Authorized personnel may review photos and artwork for quality and support.

We don’t use your photos to train AI models. Images are generated using Google’s Gemini API, which processes your photo under Google’s API terms for business customers.

We do not use your uploaded photo or personalized artwork in advertising or public promotional material without separate permission.

4. Photo and artwork retention

Free preview photos and images are automatically deleted 30 days after they’re created if no order is placed. For orders, your uploaded photo and generated artwork are automatically deleted 60 days after delivery, so we can handle reprints or support in the meantime. You can ask us to delete them sooner at any time by emailing support@clubhouselegend.com. Copies may remain in routine backups until those backups expire.

When you ask us to delete your files, we may need to verify your request. If an order is still in progress, deleting its files may prevent us from completing it, and we’ll let you know before we do.

Download and save your digital artwork promptly, as download links stop working once files are deleted.

5. Order and transaction records

Order, payment and support records may be retained as needed for accounting, taxation, fraud prevention, disputes and legal obligations. These records are separate from your photo and artwork files.

6. Service providers

We disclose information reasonably necessary to providers that help us operate the business. These include hosting and storage providers, Google Gemini for image processing, Shopify and payment providers, our US print partner, delivery carriers, email providers, and analytics or advertising services when used. Delivery details are shared with our print partner and carriers to fulfill orders and provide tracking.

7. Overseas processing

Information may be processed in the United States, Australia and other countries where our providers operate. Privacy laws in those locations may differ from those where you live. We take reasonable steps to protect information shared with providers.

8. Marketing communications

If you subscribe to marketing emails, you can unsubscribe at any time. We may still send messages needed to fulfill or support your order.

9. Cookies, analytics and advertising

We use cookies, local storage and similar technology to operate the site and retain advertising referral information. We may use analytics tools and Meta (Facebook) Pixel to measure advertising and improve the site. These tools may collect device, browsing and interaction information; their use may count as “sharing” for targeted advertising under some state laws.

You can manage cookies and storage through your browser settings and adjust advertising preferences through your Meta ad settings. These controls may not stop every form of tracking. You can also email support@clubhouselegend.com with the subject “Do Not Sell or Share” to request an opt-out. Restricting essential cookies or storage may affect site features.

10. Security

We take reasonable steps to protect personal information from loss, misuse and unauthorized access. Uploaded photos and generated artwork are stored in private file stores. No online service or transmission can be guaranteed completely secure.

11. Your US state privacy rights

Depending on where you live and which laws apply, residents of California, Colorado, Connecticut, Virginia, Texas, Oregon and other states with privacy laws may request to know about, access, correct or delete their personal information and opt out of “sale” or “sharing” for targeted advertising. We do not sell personal information for money. Use of advertising pixels may count as “sharing” under some state laws.

To exercise these rights, email support@clubhouselegend.com. For a sale or sharing opt-out, use the subject “Do Not Sell or Share”. We will respond within 45 days and will not discriminate against you for exercising your rights. We may verify your identity for access, correction or deletion requests and will explain any lawful limits on a request. If we decline a request, you may appeal by replying to our response.

To opt out of sale or sharing, email support@clubhouselegend.com with the subject “Do Not Sell or Share” and we’ll process it within 15 business days.

12. Children

Our products and website are not directed to children under 13, and we do not knowingly collect information directly from them. Customers must be at least 18. If you upload a photo of a minor, you must be that child’s parent or guardian or have permission from their parent or guardian. If you believe a child under 13 has provided information directly to us, contact us so we can investigate and arrange deletion as appropriate.

13. Complaints

Contact support@clubhouselegend.com first if you have a privacy concern and we will investigate. You may also contact your state attorney general or consumer protection agency.

14. Changes to this policy

We may update this Privacy Policy as our practices change. The current version and its last-updated date will be published on this page.
